Our client is one of the leading vendors of behavioral and mental health EHR solutions in the US. They enable providers to transform healthcare operations and deliver exceptional patient experiences through intuitive, comprehensive, and cost-efficient EHR solutions.
Business Challenge
The client’s EHR platform was helping behavioral and mental health providers to deliver high-quality care by offering centralized access to all patient records. However, the providers needed an EHR solution that could also support them in managing their patient appointments effectively. The manual process involved finding available time slots for clinicians and matching them with suitable patients after verifying their details. It was very challenging and often led to multiple rounds of communication.
To enable behavioral and mental health clinics to overcome these appointment scheduling challenges, our client sought an IT technology partner who could customize their EHR platform and integrate it with a modern appointment scheduling solution.
Solution Offered
Our experts evaluated the client’s existing EHR platform and began the integration of a modern automated appointment scheduling module into it. The new appointment scheduler was designed to deliver a seamless online appointment booking experience to all the different patient groups through its three different workflows –
  • Workflow 1 – For New Patients
In this workflow, the patients would click on the appointment scheduling widget on the clinician’s website and fill out a questionnaire to provide all essential medical details. After completing the questionnaire, they would select an available time slot with their preferred provider. They would then complete the OTP verification process and make the payment to receive the appointment details and portal login credentials by email.
  • Workflow 2 – For Existing Patients
Here, the patients wouldn’t need to fill out the questionnaire. They would sign into the patient portal on the clinician’s website with their credentials and schedule appointments with their preferred clinician.
  • Workflow 3 – For New Patients with Specific Health Complexities
In this third workflow, the system would automatically identify patients with complex health conditions based on the responses in the questionnaire. These patients would then be redirected to the provider’s customer care page, where the customer care team would guide them through the appointment scheduling process.
Subsequently, based on the EHR vendor’s requirements, we created a user-friendly interface and made sure that the questions, modalities, tasks, surveys, real-time availability, and other elements included in the module could be modified as per the clinicians’ needs. Google ReCAPTCHA V3 and secure OTP (One-Time Passcode) verification were also integrated into the module to prevent unauthorized access and ensure a safe user experience. Additionally, we provided the EHR vendor with a step-by-step guide to help the behavioral health providers deploy and use the solution in no time
